Salesforce Data Migration Checklist: 8 Steps Before You Load a Single Record

A Salesforce data migration checklist has eight steps: define scope, clean the source data, map fields, plan load order, rehearse in a sandbox, control automation and duplicates, reconcile the results and keep a rollback plan. Most migration failures come from skipped cleanup and wrong load order, not from the loading tool.

What should a Salesforce data migration checklist include?

  1. Define scope. List the objects, record counts and how much history to bring. Migrating everything is rarely necessary.

  2. Clean the source. Remove duplicates, fix formats and assign owners to orphaned records before loading.

  3. Map fields. Match every source field to a Salesforce field, including data types, picklist values and required fields.

  4. Plan the load order. Load parent records first, such as accounts, then contacts and opportunities, so relationships hold. Use external IDs to link records across loads.

  5. Rehearse in a sandbox. Run the full load on a copy of production, time it and fix errors before the real run.

  6. Control automation and duplicates. Decide what to switch off or bypass during the load, such as flows, triggers and validation rules, and set matching and duplicate rules so the load does not create new duplicates.

  7. Reconcile. Compare record counts and sample records between the source and Salesforce, and ask business users to check them.

  8. Keep a rollback plan. Back up before cutover and write down exactly how to reverse the load.

Why do Salesforce migrations go wrong?
Mostly before the first record loads. Dirty source data, mismatched picklist values and the wrong load order cause failures that people blame on the tool. Salesforce offers the Data Import Wizard for smaller loads and Data Loader for larger ones, and both do exactly what the file tells them. Our guide to data migration to the cloud explains how to move years of data without losing integrity, history or trust, and the same principles apply here.

When should you get help?
When you are migrating from several systems, when history matters, or when integrations must keep running through cutover. Our Salesforce implementation guide covers what to do before, during and after go-live, and our piece on Salesforce implementation strategy explains why projects miss their business case. If you plan to unify customer data after the move, read about Salesforce Data Cloud. P99Soft's CRM services and Salesforce consulting team plan and run migrations end to end.

FAQs

How long does a Salesforce data migration take?
It depends on data volume, the number of source systems and data quality. Your sandbox rehearsal gives the most reliable estimate.

Should I use Data Loader or the Data Import Wizard?
Use the wizard for smaller, simpler loads and Data Loader for large volumes and updates. Check current limits in Salesforce's documentation.

Should I migrate all historical data?
Usually not. Migrate what users need every day and archive the rest.
